A tradition dating back to our beginnings when our offices were the open seats at the local coffee shop, we devised a way to get together about once per quarter. It’s worked so well, we’ve kept it as a cornerstone of our culture.

It starts with a theme most; we organize team meal cooking, workshops, wellness as well as not-so-healthy activities, tons of play, vision planning, recalibrating, and most importantly to connect on new levels.

Part-time Financial & Administrative Coordinator - Oakland, CA

JOB OVERVIEW 

UpperCloud is seeking a meticulous, organized part-time Financial and Administrative Coordinator to organize and streamline our accounts payable and receivable, as well as perform various administrative and operational tasks. The Financial and Administrative Coordinator will maintain documentation and records proficiently to ensure correctness and promptness of deliverables. 

 

Our ideal candidate will have an eye for detail, proficient time-management skills, and can multitask with interruptions in a dynamic environment. This candidate must be a go-getter who follows through and is comfortable working in a collaborative environment, yet comfortable working autonomously.

We work fluidly and a bit unconventional, so our ideal candidate must be comfortable with, and adapt to, change. This position works closely with the Managing Partners and Account Managers.

 

RESPONSIBILITIES AND DUTIES

Responsibilities include, but are not limited to: 

  • Reporting activities related to pertinent processes.
  • Handling utility and other bills within Quickbooks Online
  • Ensuring accurate billing of customers and vendors
  • Handling Accounts Payable / Receivables
  • Liaising with various teams to handle contracts, payments, onboarding processes.
  • Maintaining confidential records and documentation.
  • Running payroll within Gusto and handling compliance. 
  • Preparing onboarding paperwork for clients, new employees, contractors, and vendors. 
  • Working with our vendors to request Certificates of Liability and Workers Compensation certificates when needed. 
  • Coordinating with company’s accounting firm to help with year end reconciliations.
  • Performing ad hoc projects when needed.

 

QUALIFICATIONS 

Ideally, we’re looking for a candidate who possesses the following:

  • Excellent communication skills. 
  • Experience in finance, accounting and human resources is a plus.
  • Strong interpersonal skills. 
  • Excellent time-management and organizational skills.
  • Demonstrated ability to work independently and also in teams.
  • Capable of working remotely as an independent contributor.
  • Has experience using Quickbooks, Gusto, and Google Suite preferred, but not required.
  • Eagerness to complete projects with urgency.
  • “Down to Earth” or spiritually centered.
  • Enjoys arts, music and community involvement with a dash of new experiences.
  • Hunger to grow, learn and make an impact.
  • Ability to travel and work in Oakland, Ca.

Part-time Community Artist Liaison & Coordinator - Sacramento, CA

JOB OVERVIEW 

UpperCloud is seeking a creative, resourceful, and organized Artist Liaison and Coordinator to work with the Sacramento community for one of our clients. The client is a large retail center in Sacramento that has a robust art program centered on uplifting the artist community, diversity & inclusion, and providing access to art for all. The Artist Liaison and Coordinator will be responsible for artist outreach and communication as well as developing detailed proposals for public art activations. 

 

Our ideal candidate is a skilled and imaginative organizer and communicator with an eye for detail. The successful candidate must be a go-getter who follows through and is comfortable working in a collaborative environment, yet comfortable working autonomously.

RESPONSIBILITIES AND DUTIES

Responsibilities include, but are not limited to: 

  • Corresponding with artists through various outlets, such as email, phone call, or in-person meetings. 
  • Organize and attend art activations. 
  • Handling logistics for art activations (working with the artists and the client project manager). 
  • Overseeing artists’ work. 
  • Providing guidance to the artists. 
  • Serving as the main point of contact for artists. 
  • Working with the artists and the client project manager to develop detailed proposals to present to the client. 
  • Assisting with the development of promotional plans for activations (i.e., engaging influencers, engaging artists to promote, etc.). 
  • Perform ad hoc projects when needed.

 

QUALIFICATIONS 

Ideally, we’re looking for a candidate who possesses the following:

  • Excellent communication skills. 
  • Strong interpersonal skills. 
  • Has an interest in art. 
  • Excellent time-management and organizational skills.
  • Demonstrated ability to work independently and also in teams.
  • Comfortable working remotely.
  • Knowledge of Google Suite applications.
  • Knowledge or willingness to learn Adobe Creative Suite applications.
  • Eagerness to complete projects with urgency.
  • Experience in organizing is strongly preferred. 

 

EXPECTATIONS 

The candidate must: 

  • Attend monthly in-person full team meetings either in Oakland or Sacramento (first Monday of each month, unless otherwise specified). 
  • Attend weekly remote full team meetings.
  • Participate in weekly update calls with the client project manager.
